Position Overview:
This opportunity is for a full-time Commercial Facility Manager (“Manager”) to oversee a portfolio of properties managed by OAC. The Manager will work closely with property owners, tenants, vendors and OAC staff to ensure the successful daily operation of managed properties and will report to the Director of Property Management. The Manager’s role is critical to the success of the company’s reputation and performance.
Essential Functions & Responsibilities:
A successful candidate will demonstrate core competencies in the following areas:
- Monitor emails, voice mails relay messages or respond accordingly
- Create and maintain tenant, vendor & property paper and electronic files
- Receive and enter routine & emergency service orders from clients, tenants and building occupants
- Dispatch preventative maintenance, routine and emergency service orders to third-party vendors
- Schedule property access with tenants and building occupants for technicians and third-party vendors
- Track technicians and third-party vendors through service orders, to completion
- Close service orders timely and with exceptional attention to completion notes
- Set up new vendors and service providers, including obtaining company W9’s, COI’s and payment information
- Work with third-party vendors to write scopes of work and obtain work proposals and estimates, in a competitive bidding process
- Secure periodic service contracts for all routine maintenance of properties, via bid process
- Work with suppliers to obtain parts and material pricing
- Oversee small project completion, such as equipment replacement, signage upgrades and lighting retrofits
- Organize, receive and distribute keys, FOBS and access controls for all managed properties
- Coordinate tenants move-in/move out and ensure suites are ready for new occupants
- Schedule conference room use, upon tenant request, for certain managed properties
- Prepare annual property operating budgets and assist with capital expenditure budget production
- Assist with tenant lease and association bylaws administration
- Assist with property inspections and photo correspondences
- Maintain positive communications with Owners, Tenants, Vendors and OAC staff
- Make recommendations for cost savings
- Assist with developing emergency procedures for properties (hurricane, fire, flood, etc.)
- Maintain familiarity with basic fire and life safety codes
- Make at least two property visits per year
- Share after hours on-call duties with others, as needed
- Dress is business casual/casual to interact with owners, tenants and other service providers
- All other duties assigned and associated with the day-to-day management of client accounts
Desired Skills, Experience & Requirements:
- A minimum of five years’ experience in commercial facility management
- Proficiency in reading and interpreting service orders and vendor agreements
- Proficiency with dispatch, property management, Microsoft and Google software programs
- The ability to think and work both independently and in a team environment
- Organized with ability to multitask while keeping track of priorities and maintaining big-picture focus
- A proven record of providing excellent internal and external client service
- Superior communications skills, both verbal and written
- Detail oriented, analytical and computer literate
- Valid driver’s license
- Reliable transportation
Compensation & Benefits:
- Starting Annual Salary: Commensurate with experience
